For our client, the European Border and Coast Guard Agency, we are looking for candidates for the following position:

 

Administrative Assistant in Financial / Digital and Security Division / Security Unit / Corporate Services
Location: Warszawa, Śródmieście
Reference Number: AA/FRO/FCSD/SU/CS/01/2023
Key responsibilities of the position:
  • Assisting with inventory and asset management.
  • Assisting with the annual inventory check, asset receipt, registering, disposals.
  • Assist with ensuring electronic equipment insurance and tenant civil liability insurance.
  • Assisting in daily technical management of HQ buildings.
  • Coordinating inspections, maintenance and repairs.
  • Handling requests for support.
  • Receiving deliveries.
  • Providing other administrative and logistical support.
  • Assisting with preparation of procurement requests, ToR and specifications.
  • Verifying reimbursement claims for sport & transportation and others.
  • Assisting with preparation and follow up of financial documents.
  • Supporting administrative procedures.
  • Processing translation requests.
  • Drafting notes, letters, reports and follow up.
  • Organising and assist during meetings, draft minutes where necessary.
  • Perform reception tasks.
  • Assisting with daily correspondence.
  • Keeping documents and administrative files up-to-date and in good order.

 

Requirements:
  • Education: successfully completed secondary education related to the business needs.
  • Work experience: at least 1 year of professional experience in the specific area depending on the business needs.
  • Computer skills: very good skills in the main MS Office software (Word, Excel, Outlook).
  • Language skills: very good command of both written and spoken English (at least B2) / knowledge of additional EU language.
